ABSTRACT SUBMISSION GUIDELINES
- Abstracts must be submitted on or before 3 August 2025. The online submission system will close at 2359 GMT +8 on this day.
- Abstracts must be submitted electronically through the online abstract submission platform.
- Abstracts must be submitted by the submission deadline. Late submissions will not be accepted; abstracts still in Draft status after the deadline will not be considered.
- The submitted abstract cannot be modified or corrected after the submission deadline has closed. The Presenting Author understands that it will be published as submitted.
- The person submitting the abstract will automatically be the Presenting Author and the corresponding Author.
- The Presenting Authors may request their preferred presentation method as oral, poster, or either. Please be reminded that the PENSA Scientific Programme.
Committee will take the request into consideration but will ultimately decide which method will be allocated to the abstract.
- The Presenting Author must ensure that all Authors have given their consent to be listed as co-Authors on the submitted abstract.
- The Presenting Author is responsible for the accuracy of all contents of the abstract, and that the contents do not infringe the copyright and any other rights of any third party.
- By submitting the abstract, the Presenting Authors confirm that the presented study meets the ethical guidelines for research and publication, including the legal requirements of the country in which the study was conducted.
- Submission of closely related abstracts from the same group is discouraged. Splitting of a body of work into multiple abstracts is also discouraged and consolidation into one abstract is preferred.
- If identical abstracts are found to be submitted, only the abstract on the latest date of the submission will be considered for evaluation without prior notice.
- Abstracts submitted previously to other congresses will not be accepted.
- There is no limit on how many abstracts can be submitted by a single Presenting Author. However, to ensure diversity of presentation, a maximum of two abstracts per Presenting Author may be selected for oral presentation. Abstract submitted by a different Presenting Author from the same group will be considered independently and may also be selected for oral presentation.
CONFIRMATION OF RECEIPT AND NOTIFICATION OF DECISION
- A confirmation e-mail will be sent to the Presenting Author upon receipt of your submission / Edit / Withdraw.
- Notifications regarding the status of your abstract will be sent out by mid-September 2025.
- The Presenting Author is responsible for informing the other Authors about the status of the abstract.
- Instructions for preparation will be sent together with acceptance notification.
- For each accepted abstract, the Presenting Author must register for the congress and complete payment by the registration deadline for inclusion in the scientific programme and for presentation schedule.
PRESENTATION AT THE MEETING
- Instructions for preparation will be sent together with acceptance notification.
- The Committee will endeavour to schedule abstracts according to authors’ preferences but reserves the right to decide on the final form of presentation.
- For each abstract, at least one author is expected to attend the Meeting. Presenting authors must register for the Meeting and complete payment by the registration deadline for inclusion in the scientific programme and for presentation schedule.
PREPARING YOUR ABSTRACT FOR SUBMISSION
The abstract should be as informative as possible and include the following details:
- Objectives: Background and specific aims of the study.
- Methods: Description of methods used.
- Results: Summary of results obtained.
- Conclusion: Conclusion reached.
Abstracts must meet the following specifications:
- Language: All abstracts must be submitted and presented in clear English, with accurate grammar and spelling of a quality suitable for publication. Abstracts that contain non-English words/characters shall be rejected without prior notice.
- Abstract Topic: The abstract topic must be chosen from a specific theme listed above.
- Word Limit: The abstract body must be limited to 300 words, excluding the title and Author/affiliation information.
- Use of Abbreviations: Use only standard abbreviations. Special or unusual abbreviations are not recommended.
DECLARATION OF CONSENT TO PUBLICATION AND ASSIGNATION OF COPYRIGHT
- Submission of the abstract constitutes the consent of all Authors to publication (e.g. congress website, programme and other promotional materials). Abstract may also be published in scientific journals selected by PENSA.
- The Presenting Author grants the PENSA a copyright license to reproduce, publish, translate, distribute, and display the text of the Content on a royalty-free, perpetual, irrevocable, nonexclusive basis.
- Organisers reserve the right to remove from publication and/or presentation any abstract which does not comply with the above terms.
